Admin Assistant

Job Introduction

We are looking to appoint a part time Admin Assistant who is highly motivated and organised to join our office team and work alongside our School Business Manager.

We are looking for someone who is able to support the reception role in school with their administrative responsibilities. 

The successful candidate will:

Reception Support

  • Provide support to reception and hospitality to all visitors
  • Contractors - ensure all initial checks are completed and asbestos register viewed/signed. Hand over to Site Manager where possible or escort. 
  • Handle face to face and telephone enquiries from parents and others, passing on messages/queries to Senior Leadership Team (SLT), teachers, SBM as necessary
  • Handle dinner requests from late arrivals, update TUCASI and liase with the kitchen.

Safeguarding

  • Ensure all children are signed in/out of school if arriving late or leaving during the day
  • Ensure all visitors/contractors sign in ID checked on Inventry system
  • Ensuring the safety and welfare of our pupils at all times. Liaise with SLT with any safeguarding concerns
  • Ensure confidentiality at ALL times

 Welfare

  • Qualification of First Aider at Work
  • Receive medicines from parents, provided paperwork for relevant permissions, administer first aid, as and when necessary
  • Liaise with parents if child is sick or has a serious accident
  • Complete accident book and additional paperwork, In the event of a serious incident help obtain full details and liaise with SBM

Management system

  • Update pupil records on Arbor Management program
  • Update pupil attendance records in the afternoon

Word Processing/Communications

  • Use ParentMail to send communications to parents, staff or governors as requested, send out form permissions for trips and school events
  • Update TUCASI with payment information
  • Confident in IT programs including Word and excel.

 School Visits/Residential trips

  • Liaise with teachers for the need of parent helpers and assist with organising  
  • Order Free school meals as required
  • Provide First Aid equipment, sports kit, etc for trips
  • Inform teachers of medical conditions and special requirements of individual pupils
  • Ensure permission slips and medical forms are returned by parents before trip and reports printed from ParentMail 

 General Administration

  • Check answer machine messages every morning and class registers daily for absentees and chasing non reported absences – liaise with team re persistent absentees
  • Any other clerical duties deemed reasonable
