Admin Officer

Job Introduction

We are looking for an enthusiastic and highly motivated Admin Officer to join our Denmead family.

  • Is IT literate.  An understanding of Microsoft Office, Arbor and Tucasi would be useful
  • Has a good understanding of confidentiality and safeguarding procedures

Responsibilities include: 

Data Management - Management of the school’s MIS system, Arbor, to include transfer or children in and out of the school, year-end procedures, statistical returns, including School Census.  Ensure Arbor pupil data is current on a day-to-day basis.  

Attendance – monitor the school’s attendance, identifying patterns of low attendance to allow early intervention, prepare reports for headteacher.  Handle Leave of Absence requests, issue Penalty Notices. 

Admissions – Ensure the school complies with all Local Authority guidelines for admissions. Prepare all admission correspondence for normal round admissions. Be the first point of contact for any parent/carer making an in-year application and process applications. Liaise with transfer schools and track/chase records for incoming and outgoing pupils, including those relating to safeguarding matters.

Trips - Liaise with member of staff responsible for organising trip. Obtain quotes regarding the availability and cost of the venue and coaches, ensuing best value is achieved. Prepare letters for parents/carers.

Medical – Act as first point of contact for all medicines arriving in school, ensuring records are kept and teachers informed. Maintain records for children with medical needs and allergies. Prepared to act as one of the school’s qualified first aiders (training will be provided), administering basic first aid to children. Liaise with school nurses including vaccinations.
