Exciting opportunity to join us as an Administrative Assistant at Oakley Infant School
Due to the retirement of our Administrative Assistant, we are seeking to recruit an exceptional colleague to assist in the day-to-day running of the school office.
This is a varied role with responsibilities which may include, but are not limited to:
· Providing a warm welcome to visitors, answering telephones and responding to email queries from all stakeholders
· Working alongside the Business Manager to manage the day-to-day operation of the school office, including accurate administration of the daily registers, reporting of dinner registers and management of outside organisations
· Maintenance of the school management information systems, including the submission of statutory returns and reporting. This also includes running the Academic Year end processes, ensuring that communication and payments systems are updated and ready for the next academic year.
· Day-to-day management of the admissions and leavers processes, e.g. sending letters, updating the Hampshire Portal, receiving and sending CTFs
· Managing the school diary and calendar
· Day-to-day liaison with outside organisations, e.g. wraparound care, club providers
· Involvement in the management of Health & Safety and COSHH
· Provision of First Aid to pupils and adults (training will be provided)
· Providing and organising cover for other members of the Office Team and, on occasions, the wider team, e.g. lunchtime supervisors
We are looking for someone who:
· Will be a friendly, welcoming face for pupils, parents and visitors to the school
· Can manage busy situations, whilst keeping professional and calm.
· Is self-motivated, organised and able to prioritise activities to meet deadlines
· Is a team player with a flexible, can-do approach
· Can communicate effectively with both internal and external stakeholders
· Strong IT skills, including Microsoft 365 / Office. Some knowledge of school IT systems, e.g. ARBOR and IBC, would be an advantage
· Has excellent literacy and numeracy skills with Maths and English GCSE Grade C or above (or equivalent)
