Job Introduction
The Oaks CE Learning Federation is looking to appoint an Administrative Assistant to join our Admin team. The role is primarily based at St Michael & All Angels Infant School but also involves working at and with our federated schools, Copythorne Infant School and Netley Marsh Infant School. We are seeking a friendly, welcoming, and efficient individual to serve as the primary point of contact for parents and visitors, confident and organised, able to manage the day-to-day running of the school office.
We are looking for someone who has:
- Good communication and interpersonal skills, able to react with a wide range of adults and children in a professional, confidential, and caring manner
- Good administration and organisational skills
- Good standard of IT skills, can operate a variety of IT applications
- Ability to use initiative, be flexible, work as part of a team, and work independently
- Can work under pressure and prioritise tasks efficiently
- Be educated to a good standard in English and Maths
- Demonstrate an awareness of safeguarding, GDPR (data protection), and health and safety in schools
- A good sense of humour is essential!
Duties will include:
- Providing a welcome environment for parents and visitors while ensuring compliance with visitor and safeguarding procedures
- Answering face-to-face, telephone, and email inquiries
- Daily attendance and school meal administration
- Liaising and communicating with staff across the federation
- Send email communication to parents and other stakeholders
- Maintaining and managing day-to-day systems to ensure information is kept up to date
- Maintain pupil records/pupil admissions/ pupil absence
- Manage the school diaries
- Support in booking and organisation of trips and events
- Caring for the welfare needs of pupils when they arise
- Administer pupil medicines
School administration experience is desirable but not essential, as training will be given.
