Attendance Administrator

Job Introduction

 About the Role

The post holder will act as a vital part of our fantastic admin team to support the attendance team in day-to-day administration of the students' attendance. Working with the Attendance Officer, Year Teams and SLT to administer all aspects of attendance monitoring and evaluation of student attendance.

 Job Purpose

  • To enable outstanding progress and attainment by working closely with the Attendance Officer to ensure that attendance in all year groups is good and at least in line with the national average.
  • To provide support required to raise achievement by improving school attendance and punctuality and to meet the school’s attendance targets.
  • To promote positive attitudes by students and their families towards education and ensuring that parents are made fully aware of their statutory responsibilities, particularly where there is persistent absence. 
  • Make Home Visits and attend meetings with both internal and external stakeholders.

 Key Responsibilities

  • To record, analyse and prepare documents and letters regarding attendance
  • Assist with and co-ordinating and preparing of all documentation for attendance meetings with parents and relevant staff, regarding student absence and punctuality as per the school’s attendance strategy.
  • Sharing information with relevant staff using school’s ICT communications systems and maintaining accurate student attendance data on Arbor and any other tracking documents
  • Assist in preparing attendance reports for SLT, HODs and Governors
  • Inform relevant staff when the correct register procedures are not followed in line with the attendance policy
  • Assist with receiving telephone calls from parents/carers, and external bodies, relating to absences/lateness
  • To assist the Attendance Officer in providing administrative support in all issues related to raising standards of student attendance and punctuality
  • To assist the Attendance Officer in ensuring that lesson registers, parent/carer correspondence and other attendance related administrative tasks are completed.
  • Be able to cover the main day to day duties of the Attendance Officer should they be absent, i.e. due to sickness or training

 Safeguarding

  • Promote and safeguard the welfare of the children and young people that you are responsible for or encounter
  • To undertake home and school visits as designated by the school in conjunction with the attendance officer and or other pastoral staff when required
  • Recording any safeguarding concerns in CPOMS
