Job Introduction

START DATE = 1ST JANUARY 2027.  (Ideally, the successful candidate will be able to shadow the current Senior Admin Assistant for a week towards the end of term prior to starting)

Bishop’s Waltham Junior School is seeking a dedicated and proactive Senior Administrative Assistant to take the operational lead on all aspects involving our pupils. As the welcoming face of our school office and the structural anchor for pupil data, you will play a vital role in ensuring our school runs efficiently, safely, and warmly every day.

The Role

This is a dynamic, pupil-focused administrative role. You will take full ownership of the systems that keep our pupils safe, active, and well-supported. Key responsibilities include:

  • Data & Systems Leadership: Acting as our core power-user for Arbor MIS, ensuring all pupil records, medical frameworks, and emergency contacts are meticulously updated.
  • Clubs, Trips, & Residentials: Leading the end-to-end administration, booking schedules, payment setups, and parental consents for all extra-curricular provisions and school residentials.
  • Safeguarding & Dismissal Safety: Taking the lead on keeping teaching and support staff informed of daily wrap-around care and after-school club registers, ensuring strict adherence to parental collection consents.
  • Pupil Welfare & Free School Meals (FSM): Overseeing medical tracking (IHCPs), administering first aid/medication, and providing empathetic, confidential guidance to families navigating the FSM application process.
  • Catering Liaison: Coordinating daily lunch provisions and maintaining regular communication with our catering provider, Aspens.

About You

We are looking for someone who brings a unique blend of technical competence and human empathy. You will be successful in this role if you have:

  • Proven administrative experience, ideally within a busy school or public-facing environment.
  • Excellent digital literacy with experience managing complex pupil management databases (direct experience with Arbor is highly desirable but not essential).
  • Exceptional organisational skills and the ability to triage competing priorities under pressure with a calm, resilient demeanor.
  • Strong communication skills, with the ability to handle sensitive financial or medical information with absolute discretion and tact.
  • A minimum of GCSE Grade C/4 (or equivalent) in English and Mathematics, alongside a valid First Aid qualification (or willingness to train immediately).
