Admin Assistant

Job Introduction

 

We are looking to appoint an Administrative Assistant at Calmore Junior School to join our happy, hard-working and committed team.  

The role of Administrative Assistant is varied and also requires the candidate to have a good level of competence with computer programmes, in addition to good literacy, numeracy and communication skills.   

As part of the office team, you’ll be ‘front of house’. You’ll be dealing with people from first thing in the morning and still dealing with them as you step out of the door.  With at least a few hundred interruptions every day, you’ll need to be someone who can multi-task and juggle all the balls at the same time.

We can certainly offer you a different challenge on most days. You will need to be flexible and willing to adapt to meet the needs of the school, quick to learn and ready to ‘muck in’.

What does the role entail?

You will be under the direction of the School Business Manager (SBM), you will support general every-day administration in the school.  Responsibilities will include, but will not be limited to:

  • School communication with parents, face to face, via telephone, general letters and ParentMail communications.
  • Booking and maintaining records for the school's Breakfast Club (bookings and payments)
  • Record daily pupil attendance, ensure MIS system (Arbor) are kept up to date.   
  • Administration of first aid.
  • Answering the phone and dealing with parent queries.
  • Assist with the daily organisation of school dinners (orders and payments), including special diets. Liaise with the kitchen.
  • The organisation of school trips (bookings, payments, communication with parents).
  • Assist with the management of school stock.
  • Handling school admissions.

 

We would love to hear from you if you ARE:

  • Someone with excellent administration and organisational skills;
  • A team player;
  • Someone who respects confidentiality and demonstrates integrity;
  • Able to demonstrate good communication skills (oral and written), which enable you to communicate clearly and effectively at all times to a range of different audiences;
  • Someone with an up-to-date and thorough knowledge of school based IT programmes and someone that is quick to learn new IT based programmes;
  • Someone with experience of school office processes.
  • Proactive and able to work from their own initiative, prioritising tasks to meet deadlines and thinking ‘outside of the box’ when problems arise.
