Job Introduction


We are looking for someone to cover maternity leave for a year starting 24th February 2025 working 25 hours per week term time only plus one week.

We are looking for a calm energetic versatile person who is able to both multitask and work under their own initiative in our busy school office. We need someone who will “muck in”.   We want to recruit someone who has a cheerful nature and is courteous and professional at all times. Prior experience of working in an office would be advantageous. Ideally you will have experience of working in a school office.

Do you have an excellent interpersonal manner, understand the importance of confidentiality and have highly developed ICT skills?

The role involves the use of different school-based systems including ARBOR, CPOMS and HCC intranet (on the job training will be offered to the successful candidate) We want to recruit a team player and someone who thrives on the demands of a very busy school office environment together with the understanding of the importance of complete confidentiality. You must be able to work under pressure and be able to prioritise your work at a moment’s notice. A sense of humour is essential as is an understanding that no two days in a school office are ever the same!

Your job will be to assist in the general daily admin tasks, including reception duty. The duties will also include pupil related administration including attendance, admissions, leavers, school dinners, website and social media updates and presence. You will be a part of a team of qualified first aiders looking after the children together with wellbeing. As part of the office team, you will be front of house dealing with children, parents, visitors and contractors. Ensuring the safeguarding of our pupils through checking attendance and visitors to the school is vital

 

This is a varied role with responsibilities with may include, but are not limited to:

  • Providing a warm welcome to visitors, answering telephones and responding to emails
  • Maintenance of the school management information system including the submission of statutory returns and reporting. These include running the Academic Year end processes ensuring that the schools various MI, communication and payments systems are updated and ready for the next academic year.
  • Day to day management of the Admissions and Leavers processes e.g. sending letters, updating the Hampshire Portal, receiving and sending CTFs
  • Attendance monitoring and issuing penalty notices
  • Day to day management of pupil database and admissions
  • Updating and overseeing the school’s social media and website
  • Lunchtime first aid

You will be working as part of a team of 3. Our school atmosphere is very friendly and supportive and training for specific parts of the role will be offered

 

We are looking for someone who:

  • Has some experience of working with pupil databases
  • Is well presented and able to manage busy situations, whilst keeping professional and calm
  • Is self-motivated, reliable, organised and able to prioritise activities to meet deadlines
  • Is a team player with a flexible, can do approach
  • Will be a friendly, welcoming face for pupils, parents and visitors to the school
  • Is able to communicate effectively with both internal and external stakeholders
  • Has strong IT skills including Microsoft 365 / Office. Some knowledge of school IT systems e.g. ARBOR would be an advantage
  • Has excellent literacy and numeracy skills with Maths and English GCSE grade C or above (or equivalent)

Previous experience of working is a similar role would be beneficial
