Administrative Assistant

Job Introduction

Roman Way Primary School is looking to appoint an Administrative Assistant to join our dedicated and friendly office team.  As an administrative assistant you will be the first point of contact for parents and children in our busy school office.  You will carry out a wide range of administrative duties, and must be able to demonstrate good organisational and communication skills.  The position is for an initial six month fixed term contract with the possibility of becoming permanent.

 

The successful applicant will:

 

  • Have previous experience of working in an administrative/office role
  • Be confident with Microsoft word and Excel and able to learn new IT systems if and when necessary
  • Be hardworking and show attention to detail
  • Have good communication skills, both written and verbal
  • Be able to multi-task, prioritise work and remain calm in a busy office with frequent interruptions
  • Be flexible and able to adapt when necessary
  • Be committed to safeguarding our children and understand the need for confidentiality
  • Have GCSE Maths and English – grades A-C
  • Ideally have experience of using school based systems such as Arbor and Tucasi, however, training will be given to the right applicant.
  • Work well as part of a team and have a good sense of humour

 

Administrative duties will cover but are not limited to:

  • First point of contact for visitors, parents and children, both in person, on the telephone and by email
  • Sending out communications to parents, staff and outside agencies
  • Undertaking essential daily routines such as co-ordinating school dinners and attendance
  • Providing attendance reports and data for Senior Leadership
  • Co-ordinating trips using Tucasi
  • Co-ordinating clubs
  • Ensuring pupil medication is in place and in date, with correct paperwork, and administered properly
  • Ordering some school supplies using the IBC portal, including stock checks

 

12.5 hours a week. 9am – 11.30am, Monday- Friday, term time only
