Hours: 22.5 per week/3 days per week. Term Time Only.

Fixed term until 31/08/2026

Job Description

The school Operations Manager and PA to Headteacher is responsible for overseeing the daily administration of the school office including line managing administrative staff. They are also responsible for all administrative, financial and organisational processes within the school, maintaining confidentiality at all times. They assist with all the planning and development of support services.

Responsibilities:

  • Ensure the smooth and effective running of the school office and all administrative and communicative systems
  • Be responsible for line-managing support staff, including carrying out long-term resource planning and managing recruitment, appraisal and professional development
  • Manage the school’s compliance with statutory obligations, and advise others on the relevant legal, regulatory and ethical requirements
  • Track all school policies and ensure they are updated in accordance with the policy review schedule
  • Be the school’s data protection officer, taking responsibility for monitoring data protection compliance and advising the school community on data protection issues
  • Provide administrative support for the headteacher
  • Take responsibility for the school calendar, tasks, and decisions from the Headteacher and manage and solve problems.
  • Undertake a public relations role both within and outside the organisation.
  • Devising and maintaining office systems to deal efficiently with paper flow Organising and storing paperwork, documents and computer-based information, research and retrieve relevant information required for tasks.
  • To attend meetings, document actions arising from meetings attended by Headteacher and self. Prepare, take, type, and circulate minutes and record information and action points.
  • To be responsible for the co-ordination and liaison with other departments e.g. Exams; Catering etc., and external suppliers. To ensure information is made available as appropriate, on behalf of the Senior Leadership Team (SLT)
  • To have an overview and manage visitors and book meeting spaces where relevant for Headteacher, Governors, and visiting Trust members.
  • Compliance with School policies e.g. Equality and diversity, health and safety and safeguarding.
  • To work with the Headteacher to produce documents for the Governors/Trust in a timely manner. Proof reading and managing the calendar of the Headteacher.
  • Be the schools on site contact for the HISP Central HR team, facilitating on-site HR administration duties including, but not limited to, 
  • Ensuring completion and recording of unplanned absence forms, and return to work interviews
  • Effective completion of planned absence administration
  • Facilitating recruitment activities in accordance with safer recruitment guidance
  • Ensuring payroll related documentation is accurately completed, collated and submitted in a timely manner.
