Job Description
To work as a vital member of the Inclusion Team, providing essential support to the Head(s) of Year within the school. This role acts as the primary link for home and school communication regarding the day-to-day management of pastoral and behaviour issues, ensuring a supportive and conducive learning environment for all students.
Key Responsibilities
The Pastoral Support Officer will:
- Prioritise issues arising from contacts with students and parents to minimise disruption to school learning, ensuring concerns are addressed efficiently and at the appropriate level, including the collection of statements.
- Support the personal, social, and academic development of students, actively promoting their well-being within the specified Year group.
- Liaise with appropriate members of the Year team to implement positive behaviour management strategies.
- Work as an active member of a Year team to support colleagues in setting high expectations for standards of behaviour, dress, and achievement.
- Contribute significantly to the overall ethos, work, and aims of the school.
- Assist in maintaining crucial links with home, internal, and external support services involved in student welfare, liaising closely with the Mental Health & Well-Being Officer.
- Monitor and respond to CPOMs (Child Protection Online Management System), liaising with the DSL (Designated Safeguarding Lead) and assigned Head of Year regarding necessary actions.
Specific duties
- Attendance, Punctuality and Uniform
- Liaise with the Attendance Officer to make daily first-day calls for identified at-risk or critical student groups.
- Facilitate effective communication between Middle Leaders and parents regarding student attendance and well-being.
- Monitor student punctuality and support the setting of appropriate sanctions.
- Maintain a stock of spare uniform items, such as blazers and ties, for student use.
- Support school Uniform policies within the school, including managing the issue and loan system for uniform.
- Assist senior staff with individual students who are not in class, which may involve following up on truants, supporting distressed learners, and liaising with staff on required actions.
- Liaise with teaching staff to provide work packs for students on fixed-term exclusion.
- Assist in the administration and monitoring of the daily report system for individual students, as well as managing lesson, punctuality, loss of free time, attendance, and any other relevant documentation used to monitor learner progress, particularly through Arbor.
- Carry out essential administrative tasks as appropriate to the role.
2. Emotional Regulation and Well-being
- Provide daily or weekly check-ins for students identified with emotional or mental health needs.
- Offer a calm, safe space for students to regulate during the school day when overwhelmed.
- Utilise effective strategies such as emotion coaching, grounding techniques, or restorative conversations to support students.
- Liaise with the Mental Health Lead or SENDCO for targeted interventions and specialised support.
3. Truancy & On-Site Monitoring
- Support On Call to identify students who are out of lessons without permission.
- Engage proactively with students who are truanting or avoiding specific lessons, addressing immediate concerns.
- Work collaboratively with curriculum staff to understand and address underlying causes such as anxiety or peer issues.
4. Pastoral Administration & Record-Keeping
- Maintain accurate and up-to-date records of meetings, and concerns, utilising systems such as Arbor or CPOMS.
- Track pastoral support plans and contribute effectively to student reviews and progress monitoring.
- Prepare comprehensive reports for the Senior Leadership Team (SLT) or external agencies (e.g., Early Help, CAMHS) as required.
5. Student Advocacy & Mentoring
- Act as a trusted adult and advocate for vulnerable students, ensuring their voice is heard.
- Mentor students on crucial issues such as self-esteem, friendships, and managing change.
6. Transitions & Key Moments
- Support students through significant transitions, including Year 6 to 7, mid-year admissions, and post-exclusion reintegration.
- Help prepare students for exams or other stressful periods by providing emotional support strategies.
7. Collaboration & Communication
- Liaise regularly and effectively with parents/carers to build trust and provide timely updates on student progress and well-being.
- Work closely and collaboratively with Year Leads, SENDCOs, DSLs, and external professionals to ensure holistic student support.
- Contribute actively to whole-school initiatives focused on well-being, inclusion, and student voice.
8. Support for the School
- Contribute positively to the overall ethos, work, and aims of the school community.
- Establish constructive relationships and communicate effectively with other professionals to support the academic and personal progress of pupils.
- Be aware of and support individual differences, ensuring all pupils have equal access to opportunities to learn and develop.
- Attend all relevant meetings and training as required, including but not limited to Inset days.
- Assist with the supervision of pupils on visits, trips, and out-of-school activities when required.
- Supervise pupils during break times, ensuring a safe and orderly environment.
- Be responsible for maintaining and updating records, information, and data in line with school policies and procedures.
