Receptionist – Thornden School
Salary: Grade C  £24,405 to £25,430 Full Time Equivalent (FTE) (Actual Salary £22,039.56 to £22,965.24)
Hours: 37 hours per week - 8:00am-4:30pm with one day of 8:00am-4:00pm
Contract: Permanent
Working Weeks Per Year: 41 weeks (2 extra weeks outside of term time, to be discussed)
Start Date: Immediate start preferred, but flexible to suit your needs  

Are you a welcoming, organised, and professional individual with a passion for delivering excellent front-office service?  We are seeking a warm, friendly, and organised individual to join our team as Receptionist.  As the first point of contact for students, staff, and visitors, you will play a key role in ensuring the smooth and welcoming operation of the school’s front office.

About the Role:

As Receptionist, you will be responsible for managing the school’s busy reception area, handling enquiries, and providing essential administrative support.  This role requires strong communication skills, excellent organisational abilities, and a proactive approach to problem-solving.  You will play a vital part in ensuring a welcoming and professional front-of-house experience whilst contributing to the wider administrative functions of the School.

Key Responsibilities:

Reception & Front Office Management

  • Act as the first point of contact for visitors, ensuring a friendly and professional reception environment
  • Manage visitor sign-ins, the school gate buzzer, and safeguarding procedures
  • Operate the school switchboard, handling calls and messages efficiently
  • Monitor and maintain the school’s sign-in system for staff, students, and visitors
  • Support and train staff and students in reception duties
  • Oversee student movements for reduced timetables and appointments

Administrative Support

  • Handle incoming and outgoing mail, including franking and maintaining postage records
  • Manage stationery supplies and coordinate deliveries
  • Oversee the booking and maintenance of the school minibus log
  • Prepare and distribute the weekly student bulletin
  • Liaison with bus companies and Royal Mail before each half-term
  • Ensure reception-related administrative tasks are completed efficiently

Events & School Support

  • Act as the ‘Box Office’ for school productions and concerts, managing ticket sales
  • Support key school events such as Certificate Evenings and Open Mornings
  • Provide administrative assistance to the School Leadership Team
  • Assist with archiving and maintaining accurate records
