Responsibilities: Customer Service: Develop and maintain a system of information and contacts (mainly within the local school network), to enable provision of information and advice to colleagues and parents/pupils/visitors: - To ensure effective communication to parents in relation to school matters
- To ensure excellent communication with parents, school staff, governors and external agents
- To oversee internal and external communications to ensure all methods of communication (phone calls, emails, messages) are effectively distributed
- To build relationships with parents, SMT, teachers, school staff and governors, to promote the ethos and values of the school
Administration and Finance Support - To be oversee and manage the school administrative system (Arbor) ensuring all required information is effectively managed and kept up to date meeting GDPR requirements; (including keeping data sheets up to date, recording attendance data (pupils/staff), maintain pupil and staff contact information)
- To maintain and develop schools systems to ensure all required information is accessible when required
- To be responsible for daily registers for pupil attendance and school meals ensuring these are recorded, uploaded and submitted daily and on time (input electronically by teachers).
- To be responsible for tracking and inputting daily pupil and staff absences on the schools reporting system (CPOMS) and communicating such absences effectively to the required school staff.
- To manage and keep updated the school free meal list
- To be responsible for the weekly school newsletter working with key school staff to collate weekly updates so that key information and notices can be effectively communicated to parents /guardians in advance and on time.
- To oversee the general administration ensuring all required forms required daily are kept update, are easily accessible at all times and effectively distributed (i.e photocopying key forms, letters, documentation)
- To assist in the distribution of daily post internal and external
- To support the School Business Manager with general finance tasks including daily banking, reconciliation and follow up for school trip/event payments
- To ensure all consents and payments for trips are made by the deadlines
- To ensure all visitors to the school are effectively signed in and out in line with school policies and procedures for safeguarding ensuring all required information is checked, collected and onsite safeguarding information is effectively shared so that visitors are fully aware of such policies.
- To check all visitors records are kept up to date.
- To complete the relevant daily, weekly, and monthly checks as required by the school; including but not limited to; Cool Milk (Weekly), Catering return (Weekly) First Aid (daily/termly)) Medication expiry dates (Monthly), outstanding school meal payment fees (weekly), Fridge temperatures (daily)
- To work directly with your line manager to support in completing all relevant tasks associated to the overall administration and finance duties of the school
- To manage the School’s First Aid policies and procedures (First Aid Officer)
- To manage the School’s data protection policies and procedures (Data Protection Officer)
- To provide administrative support to the Childcare Group, keeping records of attendance for invoicing purposes, completing termly statutory return to HCC
Staff Management and Teamwork - To ensure effective communication with staff leading all relevant information to effectively shared and communicated
- To ensure all daily tasks are effectively prioritised to support the daily operations of the school.
Welfare - To support in the undertaking of pupil welfare including provision of first aid where appropriate
- To manage the administration of medication as required
- To lead on the communication with parents (calls, emails, texts) in relation to any first aid incidents (Bumped heads, cuts, grazes that require first aid treatment to be provided)
- To support in ensuring the safeguarding of all pupils and staff at all times.
