Transition and Marketing Assistant

Job Introduction

We are seeking a dynamic and experienced individual to join our team as a Transition and Marketing Assistant. This part-time role is crucial in supporting our school's marketing and transition processes. The successful candidate will be compensated based on their relevant experience and ability to meet the role's requirements.

Key Requirements:

  • Extensive experience in:
    • Working with and managing budgets
    • Procurement
    • Managing marketing projects
    • Managing a range of administrative tasks
    • Accessing different IT platforms (including SIMS) to support administration
    • Working in a secondary school environment
  • An eye for detail
  • Understanding of marketing strategies in schools
  • Ability to work with high levels of initiative
  • Excellent communication skills, both verbal and written

Roles and Responsibilities:

Marketing Support:

  • Order new and repeated marketing products for open evenings
  • Create and manage parent-facing temporary signage for parent evenings
  • Manage the wall of achievement posters from parents
  • Oversee admin processing of cornerstone rewards on a half-termly basis
  • Administer the Headteacher’s lunch process, including certificates, letters, and booking through Subway
  • Create and distribute the half-termly newsletter to staff, parents, and students
  • Raise awareness of key marketing events through communication with parents
  • Create, post, and monitor the school’s social media accounts in collaboration with the Head of Transition and Marketing

Transition Support:

  • Ensure transition packs/paperwork are up to date in consultation with the DHT and Head of Transition and Marketing
  • Process in-year admissions by:
    • Contacting applicants to offer tours and invite them to induction meetings led by the HoYs
    • Sending parents online admission forms to complete
    • Adding students to the school’s MIS system and building timetables in advance of agreed admission dates
    • Updating SOAP when offers are made
    • Working with the DHT to manage waiting lists appropriately
    • Contacting parents of Year 7 students on the waiting list to see if they wish to remain on the list
  • Support main-round admissions by:
    • Managing the main round allocation list
    • Supporting the completion and submission of appeals paperwork
    • Sending letters to new allocated students in March for September admissions
    • Data inputting of new student information for Year 7 starters allocated spaces in the main round admissions
    • Collating and sending parent information packs to new starters
    • Receiving parent information replies and managing the upload of information for biometric and student data sharing
    • Supporting administration tasks for Year 5 and Year 6 days, including stickers, registers, badges, etc.
    • Supporting administration tasks for Year 6 induction evening, including registers and booking
    • Supporting parent open mornings with invites, sign-in registers, refreshments, and welcome signage
    • Overseeing parent bookings for open mornings
    • Supporting open evening and other parent-facing event administration, including staff badges, signage, and parental communication
  • Process Managed Move admin by:
    • Ensuring Managed Move students are added to SIMS and coded appropriately (i.e., dual registered)
