Admin Assistant

Job Introduction

Hiltingbury Junior School is seeking to appoint a friendly, capable and highly organised Admin Assistant to join our welcoming School Office team.

This is a varied and rewarding role at the heart of the school, supporting pupils, parents and staff on a daily basis. The successful candidate will need excellent time-management skills and the ability to multi-task effectively, ensuring work is completed accurately, efficiently and on time in a fast-paced environment.

The successful candidate will be approachable, caring and professional, with a good sense of humour and have the resilience to remain calm under pressure. In joining us, you would be willing to enjoy attention from the school therapy dog, Hugo, who is also a member of our experienced, supportive and caring staff team.

Key responsibilities will include:

  • Acting as a first point of contact for pupils, parents, visitors and staff

  • Providing administrative and organisational support within the School Office, including the administration of extra-curricular clubs, music tuition and school trips

  • Supporting pupil welfare, including the administration of medicines, first aid (full training provided) and the administration of care plans 

  • Administering bookings, returns and payments as required

  • Working closely with colleagues to ensure the smooth day-to-day running of the school

  • Demonstrating a strong commitment to safeguarding and child protection

  • Adhering to confidentiality at all times and supporting safe working practices

  • Discretion and the ability to manage confidential matters sensitively are essential


The successful candidate will:

  • Hold GCSEs (Grade C / 4 or above) in English and Maths

  • Be able to work accurately and carefully, even in a busy environment with regular interruptions

  • Have a good working knowledge of Word, Excel and Office 365
     (experience of Canva, Google Drive or Arbor would be welcomed but is not essential)

  • Ideally have some experience of working with a school management information system, Arbor as an example; training will be provided where needed

  • Be comfortable working both independently and as part of a supportive team, using initiative and managing priorities appropriately

  • Have a caring, calm and professional manner when working with both children and adults
