Job/Person Summary

We are looking to recruit an experienced administrative assistant who is welcoming and will act as the first point of contact for our Federation. The successful candidate will have proven IT skills, including word processing, spreadsheets, email and school-based software to enable the effective administrative running of the school. 

The post holder must have good interpersonal skills and be prepared to work as part of our friendly and driven office team. Candidates will need to have a professional attitude and be able to communicate and relate easily with children, parents, school staff and visitors, whilst maintaining discretion and confidentiality at all times.


We are looking for someone who is educated to GCSE (or equivalent) in English and Mathematics, is self-motivated, has an eye for detail, stays calm under pressure and is able to prioritise their own workload.

Duties will include: 

  • Recording all information/data on Arbor (MIS) and pupil files, including all mandatory returns (Census and Data Returns);
  • Producing documents, reports, letters and presentations (through Arbor or Microsoft Office); 
  • Managing pupil's joining/ leaving our school, including main round admissions; 
  • General Office Administration, including answering enquiries and providing reception and hospitality, including some hosting/event organisation;
  • General photocopying, filing, distribution of post, and admin tasks;
  • Recording pupil absence information, including tracking of attendance and issuing of Penalty Notices;
  • First Aid and Administration of Medicines;
  • Responding to requests from the Heads of School and Executive Headteacher;
  • Managing the school diary;
  • Communication with parents, including support and challenge;
  • Managing Parent Consultations.

 The successful candidate will:

  • be kind, calm and confident, with a sense of humour and the ability to cope under pressure with frequent interruptions;
  • be able to work as part of a team, but also use their own initiative;
  • have a desire to take an active part in the school community;
  • have a Paediatric First Aid qualification (or be willing to undergo training) and a willingness to support children with medical conditions (e.g. asthmatics);
  • have excellent administration and organisational skills;
  • have a high level of communicative skills (both oral and written-Standard English) enabling them to communicate calmly and effectively in a warm and professional manner; 
  • have proven knowledge and skills of Microsoft packages, and a developing understanding of Arbor (MIS systems); 
  • have GCSE English and Maths (Grade C or above);
  • have a high level understanding of confidentiality; 
  • have the ability to work under pressure, remain calm, prioritise workload and support the Head of School and Administrative Team in the effective running of the Federation.
